Frequently Asked Questions

How does Ironwood ensure data confidentiality and security?

Data security and confidentiality is paramount, at Ironwood. We go over and above legal requisites to ensure our clients’ data security is never compromised. Here are some of the measures we have taken:

Physical/work floor security

  • A security guard positioned at entry and exit who screens all entrants for data storage media such as USBs and CDs.
  • Storage devices such as hard drives, USB drives and CDs are prohibited on the work floor.

Data security

  • Data is regularly backed up either on our clients’ server farms or our data servers, depending on their preference.

Network security

  • Use of secured lines for data transmission from servers.
  • Segmented LAN accompanied by firewall protection.
  • Almost all ports, with the exception of DNS and SMTP servers, are disconnected from the external world.

PC security

  • Only authorised employees have access to source documents.
  • No printing and faxing is allowed at the processing site.
  • PCs used for processing have no CD ROM drives, and are denied web access.
  • Restricted use of paper on the work-floor.

Employee security

  • All employees are thoroughly vetted and go through background checks prior to being recruited.
  • Employees require smart cards to access premises.
  • Employees are required to sign confidentiality and non-disclosure agreements centred on data breaches.
  • Employees have access to information on a strictly “need to know” basis.
  • After working hours, employees do not have any access to client data either through printer, removable storage devices etc.
  • Employees have to maintain full confidentiality with their clients at all times, including when it comes to conversations held between them.
What is Ironwood’s average turnaround time?

We are more than capable of meeting the deadlines our clients set for us. We achieve this by investing in essential resources and infrastructure to sustain adequate manpower to consistently deliver the best value results to our clients within the time frame specified by them.

Should the scale of work from multiple clients increase, we believe in economies of scale and are confident in our potential to still provide an end-to-end result within a reasonable time bracket, guaranteeing the high level of quality expected by the client.

What level of skill do Ironwood professionals possess?

Our team of professionals include  legal attorneys, who are either  UK or Australian qualified lawyers with specialties ranging from corporate and commercial law to property matters and litigation.  We make sure that we onboard talent through a careful selection process and then monitor performance to assure KPIs are met, if not surpassed.

How do you charge?

Every client has a unique requirement. We have different pricing models designed to cater to the diversified needs of our clientele when it comes to outsourcing. Here are some of the most common models:

Fixed price i.e transaction-based

Here, there is only a particular price agreed upon by both parties that the client will pay either monthly or annually.

Everything that the client needs is already included with no additional fees, adjustments. This is the ideal outsourcing model for companies who have a consistent and measurable workload.

Time and material

This model is more cost-efficient relative to the fixed price model. This pricing model is usually used for long-term projects. As with project-based, it avails both parties flexibility. The service provider comes up with a proposal based on the client’s time and material requisites.

Mixed model

This entails a combination of two pricing models- both fixed price, and time and material. This is recommended when a business does not have specific project requirements but needs to get a project done within a specified timeline. This pricing structure helps businesses save money as there is no control over things that may occur when there are no specific requirements.

Staffing

The staffing pricing model gives businesses the chance to hire staff for a specified time period. Here, they can add more members and choose who will work for them based on their preferred skills for the project. It gives them the chance to be more productive as we take control of their more basic functions. This pricing model is best when a business needs extra staff but does not wish to hire full-time employees to cut costs.

Consumption-based

Here, businesses pay for only what they have consumed which makes this the most cost-efficient pricing model of them all.

How to start the process?
  1. We first prepare a contract with the client and hold a brief discussion to better understand what the client needs to get done.
  2. Thereafter, based on the brief, the team will prepare an assessment report and submit it to the client.
  3. If the client is satisfied with the credentials, we will move on with our proposal which includes the various services, engagement models and fee structure.
  4. Once the engagement model has been agreed upon, we will proceed with a pilot project that we will not charge for.

The above will help to determine and understand parameters, processes and client expectations relevant to the project and the necessary training and workflow to be designed for it.

Once the client is happy, we will allocate the necessary resources and infrastructure accordingly.

For seamless execution of the project, we will appoint a project manager and  coordinator who will be the client’s single point of contact.

They will be responsible for the entire delivery process, from implementing the client’s directions, to overseeing work performed by the attorney team.

We require minimal time, usually. After the initial familiarisation stage, our team will then be able to take over the service seamlessly and become integrated into your company’s operations.

Do you allocate dedicated resources and infrastructure to each client’s project?

Yes, Ironwood has a team of dedicated legal professionals who are ready to be assigned to job based, full time equivalent or white label offerings.

How can clients monitor work to ensure quality and timely delivery?

Ironwood has a 24/7 reporting desk in place, at our client’s disposal. Our project managers/coordinators receive a daily report from every employee regarding how much work has been done by them to ensure quality, timely delivery of the work and the efficiency and consistency of work across the board.

These daily reports can be reviewed by the client or their legal department at their convenience. Clients also have the option of providing us with the  required quality parameters, time frame and key metrics and we will ensure they are met.

Is there any minimum business commitment you need for a client to access your services?

We have no fixed minimum business commitment. The volume of work is irrelevant to us. We are all about a sustainable, value-driven relationship with our clients where we get to deliver the best end-to-end results and give every client the same priority, regardless of the quantity of work undertaken by us.

Where are you located?

We are located in Colombo, Sri Lanka.

What is the mode of payment?

This depends on the engagement model adopted. Our accounts department will raise an invoice which the client may then settle by cheque, bank wire transfer or even credit card.

What is a white label Service?

Our white label solutions allow your practice or legal department to enhance their margin, handle volume and minimise fixed costs while maintaining your brand.

How do our white label services help?

They allow you to get the best of both worlds. You get to witness your brand enjoying the benefits of enhanced margins and resource flexibility all while fitting in with existing processes so you do not have to reinvent the wheel.
